Invoicing tips for accountants

  1. Charge flat fees for tax returns, since they're easier for clients to budget, but list the forms ("1040 + Schedule C + state return") so the complexity is visible.
  2. Bill bookkeeping monthly or quarterly and name the period ("January 2026 bookkeeping"), so it's clear what's covered and what's still coming.
  3. For hourly advisory or cleanup work, cap the estimate in your engagement letter ("Not to exceed $1,500"). Nobody wants a surprise from their accountant.

Should I charge hourly or a flat fee?
Flat fees work best for recurring services like monthly bookkeeping and annual tax returns, because clients can plan around them. Go hourly for one-off projects, audits, or consulting where the scope isn't known yet.
When do I invoice for tax preparation?
When you deliver the finished return, before filing. Some CPAs take a deposit at intake (30-50%) and the balance on delivery. Wait until after the client files and you'll likely be chasing that money for a while.
