Personal Trainer Invoice Template

People who've paid for eight sessions up front tend to show up for them. That's a big part of why trainers sell in blocks. An invoice that spells out the sessions, plus extras like a custom program, shows the client what they bought and when it runs out.

Add your rate, write your cancellation policy in the notes, and send the PDF at the start of each block.

Tip: in the print dialog choose “Save as PDF”.

Invoicing tips for personal trainers

  1. Sell sessions in blocks and invoice before the first one. Prepaid clients skip fewer sessions.
  2. State your cancellation window, so charging for the 6 a.m. no-show is policy, not personal.
  3. List add-ons like nutrition plans or check-ins apart from session fees, so it's clear what the package covers.

Frequently asked questions

How do personal trainers invoice clients?
Most bill a block of sessions or a monthly package up front, with the number of sessions as the quantity and the per-session rate as the price.
Can I charge for missed sessions?
If your cancellation policy says so, yes. Add the missed session as a line item and point to the policy in the notes. Having it in writing beforehand takes most of the awkwardness out.
