Tutoring Invoice Template

Parents paying for tutoring like to know what they got: how many sessions, when, and whether that workbook was extra. A monthly invoice that lists it all heads off the "wait, was it eight sessions or seven?" conversation.

In person or online, it works the same way. Bill per hour or per session, add any materials or exam fees, and send a PDF at the end of the month.

Tip: in the print dialog choose “Save as PDF”.

Invoicing tips for tutors

  1. Invoice on a regular rhythm (monthly is easy) and use the number of sessions as the quantity. Simple for you, simple for parents.
  2. Put your cancellation policy in the notes. Then billing for a lesson canceled an hour before start is just the policy, not an awkward favor to ask.
  3. For online tutoring, note the platform you use and make payment due before the next block of sessions starts.

Frequently asked questions

How do tutors usually invoice parents?
Most send a monthly invoice for the sessions that happened, with the number of lessons as the quantity and the per-lesson rate as the price.
Can I bill for materials on a tutoring invoice?
Yes. Add workbooks, practice papers, or exam fees as their own lines so parents can see exactly what each one cost.
