German invoicing rules are famously strict, so it pays to get the basics right. An invoice (Rechnung) has to show VAT (Umsatzsteuer) at the standard 19% rate, along with your tax number. This template starts at 19% VAT. If you fall under the Kleinunternehmer rule, set it to 0 and add the required exemption note.

Bill in euros, list your services, and download a PDF with the fields German clients and tax authorities will look for.

Tip: in the print dialog choose “Save as PDF”.

  3. The net amount, VAT rate and amount, and the gross total.

Frequently asked questions

What VAT rate applies in Germany?
The standard rate is 19%, and there's a reduced 7% rate for certain goods. Put the rate that applies in the tax field and the amount is calculated automatically.
What is the Kleinunternehmer rule?
It lets small businesses below the turnover threshold opt out of charging VAT. If you go that route, set the tax to 0 and add a note on the invoice referencing §19 UStG. Don't skip the note.
